Our highly skilled international business team can:

  • Assist with development and marketing of business and industry conferences and roundtables
  • Facilitate and convene business-to-business networking meetings with the region's business allies and agencies
  • Coordinate and convene with Head of State visits

Business Services Agreement and Rate Sheet

VOCABULARY: for the purposes of this webpage

  • Partnership - Greater Houston Partnership

  • Off-site - an agreed venue other than the Greater Houston Partnership
  • Group - agency requesting Greater Houston Partnership services

REQUEST FOR BUSINESS SERVICES:

Group representative must provide Partnership with written request for business services (i.e. business program, conference, briefing, business-to-business matching, marketing support only or other) at least 45 days prior to preferred function date. If applicable, a complete inbound delegation list must be provided at least 21 days prior to function date (including name, title, company/organization affiliation and description, and business interest).
**requests made less than 45 days prior to function date may result in a less than successful event.

CHARGES:

Charges are based on the model chart listed at the end of this agreement. A description of these services is listed directly below:

  • The standard Partnership committee meeting event has no business services fee and is complimentary to the Group, however any actual cost incurred will be paid by Group. Meetings are based on availability and are limited to a 1-2 hour time frame. These meetings fall into one of the five regional business forum categories -- Asia, Australia & Oceania; Europe and the CIS; Middle East and North Africa; Africa (sub-Saharan); and the Americas. Partnership services include marketing event to Partnership regional committee membership only (audience of 15-30), creating and distributing email/fax invitations, program development and speaker requests (if applicable), registration, audio-visual equipment, on-site staffing, and beverage service.
  • The standard on-site, half-day business program requires a $1,500-$3,000 non-refundable business services fee (maximum attendance 75, may include non-members of the Partnership). This fee is inclusive of Partnership event management services (setting one-on-one business meetings, creating and distributing email/fax invitations, program development and speaker requests (if applicable), registration, audio-visual equipment, on-site staffing, and beverage service). This fee does not include food, translation services or any other items not specifically listed herein. For an on-site event, breakfast or lunch can be ordered. The additional cost for the meal, delivery and set up will be paid by the Group. The menu will be selected by the Partnership, with input from the Group. A minimal fee will be charged to attendees of the event, unless Group elects to cover the cost of all food, delivery and set up.
  • The standard off-site, one-day business conference or program requires a $5,000-$10,000 business services fee (maximum attendance 500) of which $2,500 is requested upon signing to secure services and is non-refundable in case of unexpected cancellation by Group. This fee is inclusive of Partnership event management services (creating and distributing invitations; marketing event; program development and speaker requests, if applicable; setting one-on-one business meetings; registration and off-site staffing). This fee does not include food and beverage, technical/audio-visual equipment, translation services, off-site meeting costs, or any other items not specifically listed herein. The Partnership will not sign the off-site venue contract.
  • The standard off-site luncheon program varies on number of attendees and venue but will require a $2,000-$5,000 business services fee of which the total amount is due up front and is non-refundable in case of unexpected cancellation by Group. This fee is inclusive of Partnership event management services (creating and distributing invitations; marketing event; program development and speaker requests, if applicable; setting one-on-one business meetings; registration and off-site staffing). This fee does not include food and beverage, technical/ audio-visual equipment, translation services, off-site meeting costs, or any other items not specifically listed herein. The Partnership will not sign the off-site venue contract.
  • The standard marketing, collaboration or co-sponsorship support for an off-site event, in which the Partnership is not asked to take on a service role other than to assist with marketing a program and providing its name and/or logo to the event is available based on the Partnership's thorough review of the program content. The fee for any marketing support or usage of name/logo to Group will be determined through conversations with staff. Please contact the Partnership to discuss further. A copy of the co-sponsorship guidelines is included with this rate sheet.
  • There is no charge for an international business briefing given by a member of the Partnership World Trade Division staff. This is a complimentary service of the organization and is based on the availability of staff.

MISCELLANEOUS BUSINESS SERVICES AND VISIT LOGISTICS

The Greater Houston Partnership may be able to suggest member company resources that can provide other logistical support including transportation, hotel, tours etc. Notification of a need for these services must be made at least 14 days in advance of function date to guarantee availability of service.

TRANSLATION/INTERPRETER

The Greater Houston Partnership does not provide translation/interpretation services; however, if a translator/interpreter is required, the Partnership will suggest member companies. Notification of a need for these services must be made at least 14 days in advance of function date to guarantee availability of service

DISCLAIMER

The Greater Houston Partnership will do everything in its power to ensure that the proceedings run as smoothly as possible; however, the Partnership can in no way accept any responsibility for damages, injuries or cancellations beyond its control to persons or property.

ACCEPTANCE

The Greater Houston Partnership is the primary advocate of Houston's business community and is dedicated to building economic prosperity in the region. As a private non-profit organization it is not possible to finance visiting delegations out of our own reserves.

PAYMENT PROCEDURES:

If applicable, please remit the appropriate non-refundable deposit or amount based on service requested as an indication of agreement of this proposal and to secure Partnership business services. Full payment of invoice must be received at close of business function.
